Refund & Cancellation Policy

This policy explains how Kaizen Tech Servicehandles refunds, cancellations, and engagement changes for our mobile-application design and development services (the “Services”). It supplements — and is incorporated by reference into — our Terms of Serviceand any Statement of Work (“SOW”) you have signed with us.
1. Nature of our Services
Our Services are custom, professional services — bespoke design, engineering, and consulting work delivered against an SOW. Each engagement involves time booked from senior engineers and designers and is not a stock product. Refunds are therefore handled milestone-by-milestone rather than as a blanket return.
2. Discovery deposit
For new engagements we typically require a small discovery deposit (e.g. 10–25% of the first milestone) to confirm the booking and reserve team capacity.
- Before discovery has started — the deposit is fully refundable if you cancel within 7 calendar days of payment and before any work has begun. Request a refund by emailing kaizentechservice@gmail.com.
- After discovery has started — the deposit is non-refundable, as the team has begun investing time. We will apply the deposit toward the next invoice.
3. Fixed-fee milestones
Fixed-fee engagements are split into milestones in the SOW. Each milestone is invoiced on commencement and accepted on delivery.
- Milestones in progress — if you cancel during a milestone, you are billed pro-rata for work delivered up to that point. Any prepayment in excess of delivered work is refunded.
- Accepted milestones — once a milestone is delivered and accepted, fees for that milestone are non-refundable.
- Future milestones — if you cancel before a future milestone has started, no fee is owed for that milestone.
4. Time-and-materials engagements
Time-and-materials engagements are invoiced monthly in arrears for hours actually worked. Because invoices reflect time already delivered, they are non-refundable. You may pause or end the engagement with the notice period defined in your SOW.
5. Cancellation by you
You can cancel an engagement at any time with written notice to kaizentechservice@gmail.com. Settlement follows the milestone or T&M rules in Sections 3 and 4. On cancellation we deliver work-in-progress and a handover after final invoices are settled.
6. Cancellation by us
We may cancel an engagement if you materially breach the Terms or SOW (for example, non-payment beyond 30 days, or asking us to do anything illegal). On cancellation by us for cause, fees for delivered work are payable; we will refund any prepayment for milestones we have not started.
7. Refund process and timeline
- Submit refund requests in writing to kaizentechservice@gmail.com.
- We acknowledge receipt within 2 business days.
- Approved refunds are processed within 7–14 business days via the original payment method (bank transfer / card / payment gateway).
- Bank processing times after we initiate the refund are outside our control and may add 3–10 additional business days.
8. Chargebacks
If you have a concern, we strongly prefer you write to us first — we resolve almost all billing issues in a single email. Initiating a chargeback without first contacting us may result in suspension of work pending resolution.
9. Updates
We may update this policy from time to time. The “Effective” date above reflects the latest revision.
